Tracking product expiry and batches

How to track stock by batch and expiry date so you sell the oldest stock first and never lose money to expired goods.

For pharmacies, grocery stores and anyone selling perishable goods, expired stock is money thrown away — and, for medicine, a real safety risk. KaroBaryaar tracks stock by batch and expiry date so this stops being something you have to remember.

What a batch is

A batch is a group of the same product received together, with its own expiry date. The same medicine or food item can sit in your shop as several batches at once — an older one bought last month and a newer one bought last week. Tracking each batch separately means you always know exactly what’s about to expire.

How it works in KaroBaryaar

  1. When you receive stock, record its batch number and expiry date on the purchase. This takes seconds and only has to be done once per delivery.
  2. When you sell, the system draws down the oldest batch first (first-expiry, first-out), so nothing quietly ages at the back of the shelf.
  3. Before anything expires, you get an alert — so you can discount it, return it to the supplier, or pull it before it’s ever sold.

Why it matters

  • No expired sales. For a pharmacy, the system warns you before an expired item is ever billed.
  • Less waste. Selling oldest-first means fewer items reach their expiry date on your shelf.
  • Cleaner stock counts. Because each batch is tracked, your stock value and your reports reflect what you can actually sell.

Unit-based stock, too

Many shops don’t sell in whole packs. KaroBaryaar lets you sell by box, strip or single unit and keeps the count accurate however the customer buys — so a pharmacy selling loose strips and a grocery selling loose weight both stay in balance.

Getting set up

You don’t have to enter every batch by hand from day one — you can start simple and turn on batch tracking as you go. When you’re setting up your shop, tell us you need expiry tracking and we’ll switch it on and show you the flow. See the full pharmacy POS features, or start your free trial.
